Privacy Policy

Self Label is a workspace for independent music: it helps people run releases, coordinate collaborators and arrange sessions. This policy explains what information the product processes, why, and the control you have over it.

Overview

Self Label processes information you give it and information created as you use it. It does not sell personal information, and it does not use your content to advertise to you.

Much of what Self Label holds is shared work — a Program, a release, a session — so some information is visible to the people you are working with. Where that happens it is described below.

Account and profile

Your email address and sign-in credentials, and the profile details you choose to add — display name, country, time zone and the roles you work in. Your time zone matters more than it sounds: it is how session times are shown to you in your own clock rather than the server’s.

Programs, sessions and scheduling

The Programs you belong to, the people in them, the sessions being arranged, and the answers you give about them — whether a proposed time works, whether you would prefer another one, and what you asked for instead.

Coordinators see that you asked for a different time. They do not see why. If your calendar or your own rules ruled a time out, the reason stays with you; other participants are never told another person’s reasons, and they do not see each other’s answers.

Availability and scheduling preferences

The hours you say you generally work, one-off exceptions you record, and any rules you set about how Self Label may answer on your behalf. Those rules are yours to change, and a decision made under them is recorded as having been made automatically rather than by you.

Calendar

Connecting Google Calendar for availability lets Self Label read only when you are busy. It does not read event titles, descriptions, locations, attendees or other event content. Busy periods are used only to avoid proposing times you cannot make.

You may separately enable confirmed-session event sync. If you do, Self Label asks Google for permission to manage only events Self Label creates in your primary calendar. Each private event contains the session title, Program, time, location and a link back to Self Label. It has no attendees and contains no participant email addresses, responses, availability or reasons. This calendar event is a convenience copy; the session in Self Label remains the authoritative scheduling record.

Turning event sync off stops future writes. You can restore a Self Label event you deleted, or disconnect Google Calendar and choose whether Self Label should first try to remove its future events. Revoking access directly at Google can prevent that cleanup, so events already written may remain until you delete them in Google Calendar.

Communication

Records of messages Self Label sends you about your work — what was sent, to which address, whether it was delivered — and the answers you send back. This is how a scheduling question and its reply stay connected to the right session.

Private scheduling review

A session invitation link is exchanged for a short-lived, secure browser session and then removed from the address bar. The review page shows only the invitation intended for you, the requester, whether the requester is participating, and an aggregate count of other people still to answer. It does not reveal another participant’s identity, answer, availability, counter-offer or reason.

Technical information

Ordinary operational data needed to run and secure a web service, such as request and error information. Self Label does not build advertising profiles from it.

WhatsApp

You can connect a WhatsApp number to Self Label. Nothing happens on WhatsApp unless you do.

Connecting it means proving it is yours: you give the number, and Self Label asks you to send a short message from that same number. Typing a number only says which one to expect — sending from it is what shows it is yours, so a mistyped number cannot connect somebody else’s phone. Only you can connect your own number; nobody else can connect it on your behalf.

Connecting is not permission. Whether Self Label may use your number for scheduling is a separate decision you make, and can withdraw, at any time — and you can withdraw it while staying connected, or disconnect entirely. Permission for scheduling is not permission for anything else.

With your permission, Self Label can send private session requests over WhatsApp. You answer through the linked Self Label review page; messages you type in WhatsApp are not treated as session answers. The conversation is private and one-to-one: Self Label does not create group chats, and other participants never see your replies.

Where WhatsApp is used, Meta Platforms operates the messaging service and processes the message and its delivery information in order to carry it. Self Label stores your number so it can recognise you on that channel, and shows it to you in a shortened form.

AI-assisted functionality

Self Label includes an assistant that reads what you write in order to understand what you are asking for and to prepare the action that matches it.

Anything that changes your work — arranging a session, answering a time, recording your hours, inviting somebody — is prepared as a proposal and shown to you before it happens. Nothing consequential is done without you approving that specific proposal.

How information is used

  • To operate the product: your account, your Programs and your releases.
  • To coordinate sessions: finding times that work and recording answers.
  • To communicate with you about work you are part of.
  • To keep the service secure, and to diagnose faults.
  • To meet obligations that apply to running a service.

Service providers

Self Label runs on third-party infrastructure and uses service providers for hosting, data storage, email delivery, messaging and AI-assisted functionality. They process information on Self Label’s behalf and for the purposes described here.

Security

Access is controlled per person and per Program: being able to see one workspace does not give access to another. Sensitive credentials — such as those for connected services — are held server-side and are never sent to your browser. Actions that change shared state are recorded with who authorised them.

Retention

Information is kept while your account is active and while it is needed for the work it belongs to. Records of what happened — that a session was arranged, that an answer was given — are part of a shared history and are kept as a record of it, so that withdrawing a permission changes what happens next rather than rewriting what already did.

Your choices and controls

  • Update your profile, hours and scheduling rules at any time.
  • Disconnect Google Calendar at any time; Self Label stops reading busy times and making future event writes.
  • Enable or disable confirmed-session event sync separately from Calendar availability access.
  • Choose how, and whether, Self Label may contact you for a given purpose.
  • Ask the assistant what is connected and what it is used for.

Your privacy rights

Depending on where you live, you may have rights to access, correct, export or delete personal information, to object to or restrict certain processing, and to withdraw consent you have given. You can exercise these rights by contacting us.

Changes to this policy

This policy will change as the product does. The date at the top shows when it was last updated, and material changes will be communicated in the product.
